The file labels worksheet is designed similar (for the user) to the Invoice. Again depending on how you keep your files, you may or may not use this document, but it certainly is handy. I personally find for many shops I have more documents than I intended in having. On the majority of my shops, I will have the following documents for each assignment, and often times, additional documents too: |
Printed Instructions/Guidelines for Shop Assignment |
Original Form (which I take on the assignment, so it is filled after I complete the assignment) |
Any emails sent (both TO/FROM) in regards to the assignment |
A hard copy of the On-line copy of the submitted report (or in word format) |
The Original Receipt |
Business Card(s) |
Brochure(s)/Flyer(s) |
MY INVOICE page |
and often times additional documents |
Because of this, I prefer to have a file folder for each assignment. This again is not the system for everyone, but I found as a new shopper it works well for me. Everything in regards to one assignment is kept together. And I can easily access any of these documents which is helpful as I have done many of these assignments more than once. That is just something I have found works for me. |
So as a result, I decided to design file folder labels that could be EASILY created, like the invoice to hold all my paperwork. |
These labels are created using Avery File Label #5366, if there is a comparable generic, you may use that too of course. I would suggest either the clear or all while labels rather than the ones with a "colored tab" on them. |
You will love the invoice! It is so simply, and the amount of work you will need to do is almost NOTHING! That is the "love" part! It is a standard invoice, but.... remember that ID# I mentioned on the Assignment and Payment Sheets? That is the KEY to the labels! All you do is enter the ID # for the beginning label you want to print at the top, and the File Labels worksheet pulls all the information into your labels! Talk about simple! |

First Line:

Second Line:
Reimbursement for Purchase Amount (automated field) |
Total Due (automated field) |
Payment Information (for revised invoice one payment is received) (automated field) |
Date Received (automated field) |
Amount Received (automated field) |
Payment Method (automated field) |
Balance Due (automated field) |

This is a full screen shot of the File Label worksheet. Of course not all shoppers will choose to use this feature, but it is nice to have it available at your disposal. See that box with the blue number one in it at the top? That right there is the KEY to the file labels Enter the ID # from either the Assignments or Payments worksheets, and all the information on the file labels automatically populates! When you enter 1 in this box, you are creating a file label for invoices 1-30 (there are 30 labels on each page). Enter 31 and you create 31-60. There is a blue number to the left of the Left side and to the right of the Right side. This is simply a reminder of which invoice numbers you are creating a file label for. |
This is a screen shot shows a closer look at the top portion of the File Labels worksheet. It displays the box (currently displaying "1") that you enter your starting invoice # into. It also reminds you of where to find this information and what is the "part #" to ensure that you purchase the correct file labels so the dimensions will match this template. |
This final screen shot shows a close-up of what the label information will display (which is listed above) |
I personally love the using the file labels, as I can neatly organize each assignment, and all paperwork for each shop stays together. But I am just one shopper. Many experienced shoppers will find that this is just a waste. Whatever is helpful to you is what you should use. Remember, what works for one person, may not work for another. I could not imagine using any other system, but some other shoppers couldn't imagine using something like this. It is just a personal preference. I am used to keeping complete and accurate records of every aspect. Being able to look at things from every angle. That was part of my job, I have incorporated those work practices into my shopping as it is all second nature to me, so this is why this system works so well for me. Use a system (any system you choose) that is designed to meet your needs whatever they may be. |
